cancellation policy

No one likes to issue or receive an invoice for a cancellation fee and we avoid it where ever possible.

Situations however do occur when late cancellations cost us a great deal of time and money. We do not charge deposits for portrait sittings at the time of the booking because we are convinced that if we treat our clients with integrity they will do the same to us.

Late cancellations for the studio sittings are generally not a problem and we can usually be very understanding!

Late cancellations for at home sittings are a serious problem and at best it means I have to spend 4 hours in a lay bye. At worst it can cost us up to £750 in lost revenue and make a whole trip unprofitable, to say nothing of its affect on other peoples travel fees and the fact that I still have to pay hotel bills and motoring costs.

We are always very understanding in a real emergency but we do find it hard not to invoke a cancellation fee when we are told we are being cancelled because someone forgot they had a hair appointment!

policy for portrait sittings while on tour

• All cancellations fees are worked out as a percentage of the sitting fee.
• The percentage gets higher the closer to the sitting date.
• RGP Ltd maintain the right to be flexible as to whether this policy is implemented or not.
• UK tour sittings cancelled within two weeks of a sitting may incur a 50% cancellation fee.
• UK tour sittings cancelled within 72 hours of a sitting may incur a 75% cancellation fee.
• UK tour sittings cancelled within 24 hours of a sitting will incur a 100% cancellation fee.
• USA tour sittings cancelled within two weeks of a sitting may incur a 50% cancellation fee.
• USA tour sittings cancelled within one week of a sitting will incur a 75% cancellation fee.
• USA tour sittings cancelled within 24 hours of a sitting will incur a 100% cancellation fee.

policy for weddings and social functions

• All cancellations fees are worked out as a percentage of the sitting fee.
• The percentage gets higher the closer to the function date.
• A non returnable deposit is taken for all weddings and social functions.
• In addition to the above non returnable deposit, weddings and functions cancelled within two weeks of the date will incur a 75% cancellation fee. Please include this possibility in your function insurance.
